How Heart Music Entertainment collects, uses, shares, and protects the personal information you provide through this website.

1. Who We Are and What This Policy Covers

Heart Music Entertainment ("Heart Music Entertainment", "we", "us", or "our") provides professional DJ, MC, and event lighting services in Toronto and the Greater Toronto Area. We are based in Toronto, ON, Canada.

This Privacy Policy explains what personal information we collect through our website at https://heartmusicent.com (the "Site"), why we collect it, who we share it with, and the choices you have. It applies to the public Site, including our quote request form. It does not apply to third-party websites we link to, or to the separate written service agreement that governs a booked event.

We handle personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA), Canada's federal private-sector privacy law.

2. Information You Provide to Us

Most of the personal information we hold is information you choose to give us. When you submit our quote request form, we collect:

  • Contact details — your full name, phone number, and email address;
  • Event basics — the type of event, the event date, and how you heard about us;
  • Venue details, if you provide them — venue name, venue address, on-site contact person, and venue phone number;
  • Event logistics, if you provide them — start time, end time, setup time, and expected number of guests;
  • Service preferences, if you provide them — the package you are interested in, the services you are requesting, your budget range, and any special requests or notes you write in the free-text field.

If we send you a quote and you accept or decline it through the link in that message, we record your response. If you decline, we also record the reason you optionally provide.

If you email or call us directly, we keep the contents of that correspondence so we can respond and maintain a record of our dealings with you.

The special requests field is free text. Please include only what is relevant to planning your event, and do not send us payment card numbers, government identification numbers, or health information through the Site.

3. Information Collected Automatically

When you visit the Site, some information is collected automatically:

  • Analytics data — we use Google Analytics 4 to understand how visitors find and use the Site. It collects your IP address, device and browser type, the pages you view and how long you spend on them, the site or search that referred you, and an approximate location derived from your IP address (typically city-level).
  • Server and request logs — our hosting provider records standard technical information such as IP address, request time, requested URL, and user agent, for security, abuse prevention, and reliability.

We use analytics in aggregate to improve the Site. We do not attempt to use it to identify you personally, and we do not combine it with the information you submit through the quote form.

4. How We Use Your Information

We use the personal information we collect to:

  • respond to your enquiry and prepare a quote for your event;
  • contact you about your request and follow up on quotes we have sent;
  • plan, coordinate, and deliver our services if you go on to book us — including using your song requests, timeline, and venue details on the day;
  • maintain business records, including records of quotes issued and events performed;
  • understand how the Site is used, so we can improve its content and performance;
  • protect the Site and our business against fraud, abuse, and security threats; and
  • comply with our legal, accounting, and tax obligations.

We do not use your information for automated decision-making that produces legal or similarly significant effects, and we do not sell your personal information.

6. Who We Share Your Information With

We do not sell, rent, or trade your personal information. We share it only in the following circumstances.

Service providers. We use third-party providers to operate the Site and manage enquiries. They may process your information only on our instructions and only to provide services to us:

  • Customer relationship management (CRM) — quote requests you submit are transmitted from your browser to our CRM system, which is hosted on Railway. This is where your enquiry and quote records are stored and managed by our staff.
  • Website hosting — the Site is hosted on Vercel, which processes standard request and log data as described in Section 3.
  • Analytics — Google Analytics, as described in Sections 3 and 7.
  • Business listing verification — the Site queries the Google Places API to display information about our own business listing. No visitor information is sent to Google as part of that request.
  • Professional advisers — accountants, insurers, and legal advisers, where reasonably required.

Event partners. If you book us, we may need to share limited details — such as your name, the event date, and venue logistics — with the venue, your planner, or a subcontracted DJ, MC, or technician, strictly as needed to deliver your event.

Legal and safety. We may disclose personal information where required by law, subpoena, court order, or lawful request by a public authority, or where necessary to establish, exercise, or defend a legal claim, or to protect the rights, property, or safety of any person.

Business transfer. If our business is involved in a merger, acquisition, financing, or sale of assets, personal information may be transferred as part of that transaction, subject to the same protections described here.

7. Cookies and Similar Technologies

Cookies are small files stored on your device by your browser. The Site uses the following:

  • Analytics cookies — Google Analytics sets cookies (including cookies beginning with "_ga") to distinguish visitors and measure how the Site is used. These load on every page of the Site.
  • Authentication cookies — our staff administration area sets secure, HTTP-only cookies for sign-in sessions. These are set only when a staff member logs in and are never set for ordinary visitors.

The Site does not currently display a cookie consent banner, and analytics load when you arrive. You can control or block cookies through your browser settings, and you can opt out of Google Analytics across all websites by installing the Google Analytics Opt-out Browser Add-on at tools.google.com/dlpage/gaoptout. Most browsers also offer a "Do Not Track" setting; there is no industry-standard response to that signal, and the Site does not currently respond to it.

Blocking cookies will not prevent you from browsing the Site or submitting a quote request.

8. Storage Outside of Canada

Some of our service providers — including our CRM host, website host, and analytics provider — store and process data on servers located outside of Canada, primarily in the United States.

While your personal information is in another country, it is subject to the laws of that country and may be accessible to the courts, law enforcement, and national security authorities of that jurisdiction under their applicable laws. We use providers that offer contractual and technical protections comparable to those required under Canadian law. If you would like more information about our practices in this regard, please contact us using the details in Section 15.

9. How Long We Keep Your Information

We keep personal information only as long as reasonably necessary for the purposes it was collected for.

Quote enquiries that do not result in a booking are retained for a limited period so we can follow up and understand demand, and are then deleted or anonymized. Records relating to booked events are retained for the duration of the engagement and afterwards for as long as required to meet our legal, accounting, tax, and insurance obligations. Analytics data is retained according to the retention period configured in Google Analytics.

When information is no longer needed, we delete it or render it anonymous.

10. How We Protect Your Information

We maintain physical, organizational, and technical safeguards appropriate to the sensitivity of the information we hold. These include serving the Site over HTTPS, a Content-Security-Policy and other hardened HTTP security headers, HTTP-only session cookies for staff sign-in, and limiting access to enquiry records to staff who need it to do their jobs.

No method of transmission over the internet or method of electronic storage is completely secure, and we cannot guarantee absolute security. If we become aware of a breach of security safeguards involving your personal information that creates a real risk of significant harm, we will notify you and the Office of the Privacy Commissioner of Canada as required by law.

11. Your Rights

Subject to limited exceptions in law, you have the right to:

  • ask whether we hold personal information about you, and request access to it;
  • request a correction to information that is inaccurate or incomplete;
  • ask us how your information has been used and to whom it has been disclosed;
  • withdraw your consent, as described in Section 5; and
  • request that we delete information we no longer need.

To exercise any of these rights, contact us using the details in Section 15. We will respond within 30 days, and we may ask you to verify your identity before acting on a request. There is normally no fee; if a request would involve significant cost, we will tell you the estimated cost before proceeding.

If you are not satisfied with our response, you may make a complaint to the Office of the Privacy Commissioner of Canada at priv.gc.ca or by calling 1-800-282-1376.

12. Children's Privacy

The Site is intended for adults planning events. It is not directed at children, and we do not knowingly collect personal information from children.

We may receive limited information about minors incidentally — for example, the name of a guest of honour at a school event or a milestone birthday — where an adult organizer provides it to us for event planning. If you believe a child has provided us with personal information directly, please contact us and we will delete it.

14. Changes to This Policy

We may update this Privacy Policy to reflect changes to our practices, our service providers, or applicable law. When we do, we will revise the "Last updated" date at the top of this page. If the changes are significant, we will take reasonable steps to bring them to your attention.
